TYPE OF CONTRACT: Permanent

ROLE POSITIONING AND OBJECTIVES

This position is within the IDT Finance team based from GBS Romania. The PO Admin Manager will be responsible for overall coordination of Purchase Order generation to Goods Received Note (GRN) and budget usage as well as providing reports and analysis to the stakeholder with regards to IDT Operations spend. They will handle the contracts & asset management system for all IDT Ops activities. The PO Admin Manager is expected to support with IDT Ops in project management.

WHAT YOU WILL BE ACCOUNTABLE FOR

• Ensure all POs are maintained and processed for correct Approvers - follow up with approvers to ensure processing and alignment in COUPA and/or SAP.
• Follow through to Completion IDT PTP teams to confirm and acquire PO reference.
• Confirm contract details and data accuracy with partners and vendors and align them to budget allocation.
• Consolidate Documents based on Contract requirements and ensure all invoices are maintained against PO and budget tracking.
• Update the invoice values against each PO per invoice and indicate if processed or not to ensure correct YTD numbers are reflected.
• Align all forecast rundown for POs based on the latest invoices against future spend to include the completed invoices to ensure YTG numbers are correct per PO, per invoice.
• Consolidate required documentation & create vendors in CRA portal. Review and agree Risk Indicators and Mitigations
• Align with Budget holder and requestor, Budget allocation, spend type and project ownership for each request.
• Acquire Actuals Reports and load data to Budget tracker.
• Update Planisware tool per project with latest status for activities, risks.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

• Minimum of 6 years of progressive work experience in the operational delivery of these services, ideally in a shared service environment.
• Comprehensive understanding of Source to Settle process.
• Excellent communication, people management and change management skills.
• Experience of working with culturally diverse teams.
• Ability to work in a fast-paced environment with different international culture.
• Excellent experience in SAP (preferably Coupa), Microsoft (Excel, Word, PowerPoint)
• A degree with focus on related areas, or equivalent combination of education and experience
