Booking Holdings Inc. (BHI) is looking for a Compliance Operations Associate to join our Compliance Operations team and support BHI Compliance leadership with the day-to-day operations of the compliance department as well as the implementation of compliance projects and processes. The role is multi-faceted and the person in the role must be highly organized, motivated, results-focused, and diligent, and excited to work in a fast-paced, highly-matrixed, tech-company environment. As the role involves working on company systems and applications, the person must be comfortable with processes, numbers, data, and metrics. Additionally, the role interacts with colleagues across and outside the compliance organizations as well as external parties (e.g., vendors) and requires an excellent customer service orientation. While not required, prior experience in the compliance, legal, or operations function of a global company, or a desire to learn compliance operations, is a strong plus.
Key Job Responsibilities and Duties
Department Operations
Support department leadership with the day-to-day management and operations of the department including:
- Budget and spend tracking throughout the year, including budget preparation, monitoring, and reporting to Finance; invoice management; and spend tracking, analysis, and reporting
- Vendor management, including vendor onboarding; maintenance of vendor repository; tracking, analysis, and reporting of vendor spend against driven agreement(s) and scope(s) of work and budget; and vendor offboarding
- Department calendar management, including working closely with department leadership to create the calendar; proactively reviewing upcoming deadlines, events, and other achievements requiring action; scheduling meetings, both recurring and ad hoc, as necessary and requested; and collaborating with colleagues and others to ensure department goals, projects, and processes are on track for successful implementation and completion
- Executive reporting support, including creating and maintaining a calendar and timeline of reporting dates and deliverables; scheduling related meetings; and assisting with the preparation of presentation materials
- Event planning and logistics for Compliance department/team events such as team meetings and offsites, including support with invites, agenda preparation, event-related communications, and other logistics (such as venue, catering, office supplies, etc.).
Compliance Process and Project Support
- Help team to develop and manage a detailed project schedule and track project performance to ensure timely completion of team goals
- Provide support with the Compliance critical metric process, including creating and maintaining a calendar and timeline of reporting dates and deliverables; communicating with relevant collaborators about the process and upcoming deadlines; scheduling related meetings; maintain repository of deliverables and ensuring completeness of submissions; and assisting with the preparation of materials related to the critical metric process
- Create or support the creation of and maintain trackers for compliance processes such as conflicts of interest, gifts and entertainment, etc.
Office Services:
- Prioritize and complete support requests in a timely manner (i.e. issues with IT, systems, facilities, etc.)
- Responsible for onboarding administration of new hires (credit cards, etc.)
- Complete other ad-hoc day-to-day requests by management
Role Qualifications and Requirements
- Bachelor degree
- 3-5 years relevant job knowledge
- Highly organized with excellent planning and organizational skills and attention to detail
- Ownership attitude and proactive problem-solving; results-focused
- Ability to adapt to change and shifting priorities and re-orient approaches to doing things in service of department and program goals
- People-oriented with strong relationship and collaborator management skills, having the ability to engage with people across all levels and from diverse backgrounds
- Experience with Google Suite and Microsoft Suite as well as interest in learning other systems
- Experience in a global company environment is a plus but not required
- Experience in compliance or legal operations is a plus but not required. An interest in such experience is required.
