    Requirements

    Proven experience as front desk representative, agent or relevant position
    Good knowledge of English language
    Familiarity with office environment
    Excellent knowledge of MS Office
    Strong communication and people skills
    Good organizational and multi-tasking abilities
    Customer service orientation

    Responsibilities

    Provide administrative support and maintain communication with employees, addressing their requests promptly.
    Answer and direct telephone calls, ensuring the caller's identity is communicated.
    Maintain an organized record of relevant telephone and fax numbers, as well as addresses.
    Ensure confidentiality of all organizational information.
    Oversee the reception and dispatch of faxes, letters, envelopes, and packages.
    Assess the needs of company staff and procure necessary office supplies.
    Receive and process travel requests from employees.
    Arrange travel bookings through agencies and maintain records of all travel-related documentation.
    Distribute travel documents to employees and assist with their inquiries.
    Verify travel expense reports for accuracy and submit them to the finance department for reimbursement.
    Compile and submit a monthly report detailing employee travel activities and expenses.
    Provide information on employee travel periods to assist in calculating travel advances (per diem).
    Coordinate company events, such as team-building activities and parties.
    Maintain relationships with suppliers and report monthly on office-related costs to the finance department.
    Make copies and scan documents as needed.
    Communicate internally regarding updates on workspace or procedures.
    Maintain records of employee expenses and verify accuracy before submission to the finance department.
