YOUR NEW TASKS:
- Effectively manage both internal and external meetings, prioritizing requests and exercising sound judgment. This involves coordinating with internal leaders to ensure alignment on meeting schedules and travel needs, while efficiently handling competing priorities.
- Arrange and manage travel plans in accordance with company systems and policies.
- Provide leaders with necessary travel details, documentation, and offer real-time assistance during travel.
- Assist in preparing presentation materials and responding to data requests.
- Collaborate with internal contacts to gather and synthesize information, with a broad understanding of organizational operations and processes to efficiently access relevant data.
- Coordinate leadership meetings by collecting input for the agenda, creating the agenda, documenting discussions, and distributing clear action plans. Prepare necessary materials for both internal and external meetings and discussions.
- Handle all aspects of expense reporting and ensure timely submission. Maintain the highest level of confidentiality when managing sensitive information.
- Respects policies, procedures and values of the company.
ARE THESE YOUR SECRET INGREDIENTS?
- Bachelor's degree or equivalent work experience preferred.
- Minimum of 3 years of experience as an administrative/executive assistant, similar role providing support to senior-level executives or board members.
- Ability to work in a fast-paced, dynamic environment and adapt to changing priorities.
- Advanced knowledge of English language (speaking, reading, writing, comprehension).
- Highly Proficient in Microsoft Office Applications.
- A positive, can-do mindset with no ego – committed to doing whatever is necessary to complete the task.
- Strong interpersonal skills, with the ability to build relationships at all levels.
