British American Tobacco Romania has an exciting opportunity for a Global Mobility Services Specialist in Bucharest.
Your key responsibilities will include:
- Reviews correctness and completeness of data received from Global Mobility Services Partners; reviews compliance with the GM framework and follows up for missing data as required to ensure international move processes are completed timely. This requires coordination, follow up and accuracy.
- Sets up and/or updates/maintains international assignee/permanent transfer records/data timely and accurately into the company operating systems (HR and Global Mobility system) as per corporate guidelines.
- Prepares and updates international assignee statements and Cost Estimate aligned with the Global Mobility policies and local specific requirements for start of assignments, changes during assignment, annual processes and assists the Global Mobility Services Partners with required package updates where required. Ensures statements and cost estimate are correct before sending them out.
- Documentation Management - Generates assignment documentation (Assignment Letter, End of Assignment Letter and Extension of Assignment Letter) and other required internal documents) as per company requirements and supports international move execution by ensuring that documentation is produced in line with process guidelines and procedures.
- Maintains accurate records of employee assignments, relevant assignment documentation, and other compliance documents (work permits, other mandatory documents) in the electronic files of the employees as per BAT Requirements.
- Possesses knowledge of the Global Mobility policies (including Tax policy), a thorough understanding of assignment package elements and of HR and GM systems as well as of the global mobilities task level descriptions. This is intended to ensure Compliance with Global Mobility Framework/ Policy/ Task Level Descriptions/ Manuals/ Guidelines/ Legal Requirements
- Provides support throughout the end-to-end international move as instructed by the Global Mobility Services Partners and closely cooperates with the latter to ensure required documentation and guidelines available on Knowledge Management System are aligned with the most up to date instructions. Assists the Global Mobility Services Partners and/or the Global Mobility Services Team Lead in reviewing complex situations requiring a detailed explanation of policy, administration processes or Global Mobility procedures.
- Manages and organizes caseload independently, Provides guidance, training and feedback for onboarding new joiners and development.
- Handles stakeholder notifications (e.g. Payroll) regarding international moves, changes on assignment, extension/ end of assignments/ lease/ visa.
- Escalates system or other types of issues, as required with the Global Mobility Services Partners and/or the Global Mobility Services Team Lead, in a timely manner to ensure swift resolution.
- Monitors/Reviews planned assignment end dates ensuring timely extension/end of assignments as applicable.
- Supports with compliance activities (e.g. Tax, visa extension, etc.) and checks as per defined processes
- Identifies opportunities to improve administration processes and reports them to Global Mobility Services Team Lead for implementation. Supports in the testing and implementation process.
What are we looking for?
- Minimum 5 years of overall work experience with at least 2 years in HR preferably a global mobility role, preferably within a multinational corporation.
- HR service delivery: Able to manage own deliverables, ensure timely completion of caseload; Able to train new joiners and less experienced team members.
- Strong attention to detail and accuracy with data management.
- Strong organizational and documentation skills.
- Priority setting skills and solid planning and organizational skills.
- Problem solving, continuous improvement, customer service mindset.
- Stakeholder management and communication skills.
- Computer proficiency - Proficient in using MS Office Suite, and other relevant software for data management and reporting.
- Adaptability - should be flexible and adaptable to changing circumstances in a dynamic global environment.
- Ability to work in a global capacity / virtual working to ensure seamless delivery and execution across time zones
- Proven experience of working in a high-pressure, fast-paced environment, working effectively across different time-zones
Education / Qualifications / Certifications Required
- University Degree
- Strong English language (written and oral)
